Auto-replies that don't annoy

What should an out-of-office message include?

Three things: when you'll be back, whether the sender should expect a reply from you or resend later, and who to contact if it can't wait. Skip the reason unless you want to share it — "on vacation" sets expectations better than silence, but it's optional. Everything else is decoration.

What makes a good team auto-reply?

A specific response promise ("within one business day" beats "as soon as possible"), your actual business hours so off-hours senders know why it's quiet, and a line telling people not to resend — duplicate messages are the main cost of a vague auto-reply. Saying a real person will answer helps too; people assume auto-acknowledgments mean bots.

Should auto-replies go to every email?

Send the acknowledgment once per conversation, not once per message — replying to every email in a thread reads as spam and can trigger mail loops with other auto-responders. Most shared inbox tools (Repliqo included, via its automation rules) fire on new inbound conversations for exactly this reason.

How do I set an auto-reply on a shared inbox?

Personal out-of-office lives in your mail client (Gmail: Settings → Vacation responder; Outlook: Automatic replies). For a shared address like support@, use your inbox tool's automation: in Repliqo, add an automation on the inbox with the "Send an automatic reply" action and paste your message as the template.

Put this auto-reply on your shared inbox.

Repliqo automations include a "Send an automatic reply" action — paste the message you just wrote as the template, and every new conversation in your shared inbox gets acknowledged once, automatically.
